Creating An Encounter

Please Note: Terminology is different based on your setting. For example; a setting may use Organization as Location, Patient instead of Athlete, Encounters instead of Treatment, or Problems instead of Injuries - but the steps are still the same.

Step-By-Step Tutorial (Web) - Athlete Tab

  1. Navigate to the patient profile
  2. Click Encounters
     
  1. Select Add if entering a new encounter, or, select the three dots to the right of the encounter you wish to duplicate and select Duplicate
     
  1. Input the details of the encounter
     

Note: Marking the encounter as Scheduled is a must if you'd like the encounter to show on your schedules tab.

 

 

  1. Answer any required or non-required background questions
     
  1. Associate a problem or mark as Non-Problem Related
     
  1. Add Performed Services
     
  1. Add Notes if desired
     
  1. Add Attachments if desired
     
  1. Select Save

  1. Type the patient's name in the global search
     
  1. Select the three dots to the right of the patient's name
     
  1. Select Create Encounter
     
  1. Enter encounter details
  2. Select Save

  1. Navigate to the patient's Injury Timeline
  2. Select Add
     
  1. Select Add Encounter
     
  1. Enter encounter details

Note: when you navigate this route, the injury will auto-pull to the encounter

 
  1. Select Save

  1. Navigate to the patient profile
     
  1. Select Encounters
     
  1. Select + to add a new encounter
     
  1. Input encounter details and select Save to add the encounter
     

Creating Group Encounters

Bulk encounters are designed to help provider users apply a single encounter across an entire organization or team at once. This approach enhances efficiency by eliminating the need to enter duplicate data for each patient. It also promotes consistency, as the same encounter information is applied uniformly across the group. Additionally, bulk encounters reduce errors, such as overlooking specific details or making redundant entries.

Step-By-Step - Creating Group Encounters:

  1. Select Organizations 
  1. Select the desired Organization from your listing 
  1. Select Encounters 
  1. Selecting the Add drop-down arrow will open a section option, select Group Encounter 
  1. Begin to create the encounter, starting with the details 
  1. Answer any relevant background questions 
  1. Set if desired the default affected area, you will be able to alter this per patient later if desired
  1. Select + to add services 
  1. Select the desired services and OK to save 
  1.  Select + if you'd like to input a note for the group encounter 
  1. Select the appropriate note type 
  1. Input your desired note, select OK to add the note

Note: Inserting a note applies to all patients in the group encounter. If using a note template and the template includes fields that automatically pull patient-specific information, those fields won’t populate since this note is shared across multiple patients 

 
  1. Select + to add patients 
  1. The organization’s roster will now appear on the right side of the screen. This section can be used to filter the patient roster as needed or to search for and select a patient to add. Simply click on a patient’s name to add them to the group encounter
  1. If you'd like to specify a problem to apply the group encounter, select the menu icon to the right of the patient 
  1. Select Specify Problem 
  1. Select the problem under the patient's information and specify which problem to add to their encounter 
  1. If you'd like to specify a different affected area per patient select the affected area below their information 
  1. Specify the affected area for the patient, select OK to apply the new affected area 
  1. Select Save 

Please note that group encounters cannot be undone. If any changes or removals are needed, they will have to be made individually for each patient.

 
  1.  A running job notification will now generate 
  1. Select the notification to refresh the screen 
  1. Bulk encounter will now be generated on the organization's encounter listing as well as each patient's encounter listing.
