Creating events in Healthy Roster is useful for tracking attendance, monitoring injuries, and identifying trends across events. You can create events through both the web and the app. Whether you need a one-time event, a team or organization-wide event, or bulk events for recurring occurrences, the platform offers flexible options to meet your needs.

Creating A Singular Event

Creating an event can be done through the mobile app, the web's schedule tab, or the organization's events tab. Events help track injury trends, organize attendance, streamline communication, and ensure important activities or milestones are documented efficiently. An example event you may want to track would be a game.

You can also create the event directly from the Organization's event tab, in that case you will resume at step 5 below.

 
  1. Navigate to the schedules tab on the left navigation 
  1. Click on the calendar to add an event
  2. Select Add Event 
  1. Select the Organization for the event 
  1. Input the name for your event as well as a description if desired 
  1. Set the start and end time 
  1. Answer any relevant background questions 

 

  1.  If this event is team-specific, select the appropriate team 
  1. Select OK to create the event

  1. Select the schedule tab 
  1. Select the + icon 
  1. Select Schedule Event 
  1. Select your desired organization 
  1. Name your event and provide it with a description if necessary 
  1. Ensure the start and end dates are appropriate 
  1. Answer relevant background questions 
  1. Select Edit Teams to associate a team to the event 
  1. Select Save 

Adding Bulk Events

The biggest advantage of this feature is efficiency—it saves time by allowing you to schedule multiple events at once instead of adding them individually. This helps streamline organization, reduce manual entry errors, and maintain consistency across team events. A great example of where this can benefit you is scheduling daily practices. Since these are typically structured, instead of creating each one manually, you can set them up in bulk and easily edit them as needed moving forward.

Step-By-Step Tutorial - Adding Bulk Events:

  1. Select the organization tab 
  1. Select the desired organization 
  1. Now select the events tab within the organization 
  1. Select the Add Event drop down 
  1. Select Add Bulk Events 

 

  1. Provide the event with a Name, you may also add a description if you'd like 
  1. Determine the frequency of Daily, Weekly, or Monthly 
  • Daily: Choose specific days of the week for your event to occur
  • Weekly: this sets a recurring event on the same day of the week as your scheduled date. For example, if today is Wednesday, the event will appear every Wednesday.
  • Monthly: This duplicates the event on the same calendar date each month. If today is the 6th, the event will automatically be scheduled for the 6th of each month.
 
  1. If you've selected Daily for the frequency, you will need to check which days the event will occur 
  1. Set the Start Date and End Date. Note, events can only be scheduled 6 months out. 
  1. Set the Start Time and End Time 

Note: If the end time is earlier than the start time, the event will extend into the next day. For example, if you set the start time to 10 PM and the end time to 1 AM, the event will carry over past midnight into the following day.

 
  1. Answer any relevant background questions. All background questions answered while creating the bulk event will apply to all events that get created from this action 
  1. Assign the event to necessary teams, not assigning to a team will then be assigned simply to the organization.

 

  1. Select OK 
  1. Next you will see a confirmation with the total number of events that will be created via this bulk event route. Adding events in bulk cannot be reversed in bulk, they will need to be manually deleted or edited once added to the events tab.
  1. Your events will now begin uploading 
  1. Once completed you will receive a running jobs notification 
  1. Select the running job notification in the upper right corner to refresh your schedule and add the events to your schedule 
  1. Your events will now show
