Sharing Reports

Sharing reports allows for a more open, collaborative, and accountable environment, ultimately contributing to better outcomes and success. There are distinctions between report sharing within our advanced reporting that you should be aware of as the admin provider user.

Quick Hits:

  1. Only admin providers can share reporting
  2. Reporting can be shared with all provider users, organizational users, and team users in the form of a report. A reporting template can be shared with singular provider users.
  3. Sharing a report implies that you are sharing with the intent that the user will view/access the exact data that you've included
  4. Exporting a template implies that you are sharing the formatting of the reporting information but not the actual data. The export can be shared with provider users.
  5. Sharing a report with a user will grant these users the ability to see all data in the underlying data sources, even if the information is not currently visible in this report.

Step-By-Step Tutorial: Sharing a report with all provider users

Benefit: This option is helpful for sharing a common report in bulk to all provider users within the account.

Common example reports to share: Reports that often house background questions such as Encounter or Incident reporting.

Special considerations: Sharing will be shared with all provider users within the account. Organizational permissions will remain intact.

  1. From your reporting tab, select the menu icon to the right of the report you wish to share
     
  1. Select manage access
     
  1. Check the box to share the report with provider users
     
  1. Select OK
     

Note: while provider users will have access to this report, they will not be able to edit the report version. They can choose to make a copy and edit the data on their copied version if they so choose

 

Step-By-Step Tutorial: Sharing a report with Organizational-level users

Benefit: Provides quick access to relevant reporting

Common example reports to share: Problem/encounter logs, patient demographics, form data reporting

Special considerations: Org users are unable to edit reports/make copies. If sharing a report with a data set that is not granted off of the user's permissions, sharing a report with the dataset will share that reporting information.

Example: If sharing a report with an organizational user based on Problems, and the problem privacy level is set to "providers only," the organizational-level user on reporting will see the problem that is set to providers only. the org user will not have granted access to view the problem on the problem timeline.

 
  1. From your reporting tab, select the menu icon to the right of the report you wish to share
     
  1. Select manage access
     
  1. Select Organizations
     
  1. Select the + icon to add organizations.
     
  1. Select the desired organization to share the reporting template with
     
  1. Select OK
     

Step-By-Step Tutorial: Sharing a report with team-level users

Benefit: Provides quick access to relevant reporting

Common example reports to share: Problem/encounter logs, patient demographics, form data reporting

Special considerations: Org users are unable to edit reports/make copies. If sharing a report with a data set that is not granted off of the user's permissions, sharing a report with the dataset will share that reporting information.

Example: If sharing a report with a team user based on encounters, team users are not privy to encounters based on their permissions. Sharing a report with the encounter dataset allows these users the ability to view this reporting information but not access this information outside of reporting.

 
  1. From your reporting tab, select the menu icon to the right of the report you wish to share
     
  1. Select manage access
     
  1. Select Teams
     
  1. Select the + icon to add organizations
     
  1. Select the desired organization to share the reporting template with
     
  1. Select OK
     

Step-By-Step Tutorial: Exporting a reporting template for provider users

Benefit: Allows the ability to share a report with a single provider user

Common example reporting templates to share: Provider admin only reporting for auditing or end-of-year reporting

Special Considerations: This format shares the build of the report and not any data

  1. Select the desired report to open the report.
     
  1. It's suggested then to run the report in run mode to ensure the report is the correct one you'd like to share the template for
     
  1. Select the reporting menu
     
  1. Select <>Export Template
     
  1. The reporting template will then download to your device.
     
  1. Share the download with your desired provider user
