Step-By-Step Tutorial: Enabling the integration in XLNTBrain Step-By-Step Tutorial: Missing or Ambiguous Match

COMING SOON TO Healthy Roster AND XLNTBrain

 

Setup: To begin the integration, you will need your HealthCare ID for the account. Please reach out to help@healthyroster.com. Once you have that, we will inform you of the next steps.

Benefit: This integration is intended to help streamline the process of linking testing results from XLNTBrain to Healthy Roster.

Integration Summary:

  • This integration is offered free of charge through both platforms.
  • This integration has to be approved by the Account Owner of the Healthy Roster account.
  • This is a one-way integration; XLNTBrain will not have access to data within Healthy Roster, nor will any data be exported from Healthy Roster into XLNTBrain.
  • XLNTBrain will be able to deliver documents, both the Concussion Incident Report and Comprehensive Report to Healthy Roster.
  • The integration will look to match the identifiers (Patient First Name, Last Name, and DOB); if a match is identified, the document will be saved to the patient profile. If no match is identified, the Account owner/Admin Providers will be notified and asked to match the document to a profile.
  • While this integration may be set up in XLNTBrain at the overall account or the subcategories, the integration set up will remain the same at the HealthCare provider account level within Healthy Roster.

Note: If an Admin Provider has problem email notifications disabled in their account, this will also disable the XLNTBrain ambiguous match emails.

 

Step-By-Step Tutorial: Enabling the integration in XLNTBrain

If you need help enabling your integration in XLNTBrain please reach out to: support@xlntbrain.raiseaticket.com

  1. Upon logging into your XLNTBrain account, select Integrations on the left navigation
  2. Healthy Roster will appear to have a status of “Not Configured” when not set up, to enable select Configure Healthy Roster 
  1. Review the instructions 
  1. Input your Provider ID as provided by Healthy Roster 
  1. Check if desired to apply automatic synchronization with Healthy Roster
  1. Check to agree to the terms of the integration 
  1. Select Save Configuration 
  1. To test if your integration is active, send a test file. If you are looking to have a matched profile, be sure to include information for a fake patient with matching identifiers (First Name, Last Name, DOB) 
  1. Once either the Comprehensive Report or Concussion Incident Report have been created, the file will be transmitted within 5 minutes to the Healthy Roster account.

 

Step-By-Step Tutorial: Missing or Ambiguous Match

Once a test is completed in XLNTBrain, the report will be delivered to Healthy Roster. This push into Healthy Roster looks to match patient identifiers, patient first name, last name, and DOB. If there is no exact match between the two systems, you will receive a Missing or Ambiguous Match notification and must match the document to the correct patient profile in Healthy Roster.

In most instances, the file should be transmitted within five minutes. If your file is not delivered, please wait 24 hours. If the document has not been delivered within 24 hours, contact support@xlntbrain.raiseaticket.com for further help.

 
  1. Select the notification icon 
     
  1. View the notification and open the file in order to ensure which profile to attach the document to
     
  1. To assign your document to the right patient, select the menu icon to the right of the notification
     
  1. Select Assign Patient
     
  1. Select the appropriate patient
     
  1. Once you've matched the patient profile, you will be able to view the associated document on the patients document tab

 

Note: It's suggested that you ensure you either change the patient name in XLNTBrain or Healthy Roster to avoid a missing or ambiguous match in the future.
