Self-Scheduling Intended Flow

This tutorial will detail the suggested self-scheduling flow for a provider user.

Step One - Video Tutorial - Creating a New Calendar and Assigning it to Organizations:

00:01: Hi, this is Nikki in this tutorial.

00:03: We're going to walk through self-scheduling specifically, how to create a new

00:07: calendar and assign it to organizations.

00:09: As a quick note.

00:10: Before we get started, this feature is only available to admin provider users to set

00:14: up the default calendar.

00:16: When an Admin provider user creates a calendar and assigns it to the organization.

00:20: They are also tying the selected providers.

00:23: So that calendar once the calendar has been created and made available to the

00:27: organization provider users can then go in and set their individual availability for

00:32: the self scheduling feature.

00:34: Now, let's walk through the setup process that by step.

00:38: To begin, we will select the admin tab from the left navigation.

00:44: Now, from the admin toolbar select self-scheduling.

00:49: Next.

00:50: We will select manage calendars.

00:54: To add a new calendar.

00:55: We will select add

00:59: Now, name your calendar, this is an internal use name.

01:05: Next type in your desired URL slug, this will be added to the end of yourselves

01:10: scheduler URL, and we'll be link that you share with athletes or patients for

01:14: self-scheduling.

01:14: It's Unique to your calendar.

01:19: Once you've input your desired URL slug, you will see the slug attached to the

01:23: bottom of the URL.

01:25: To copy and share this URL, select the copy icon.

01:30: Now, input a description for your calendar.

01:32: This description is for internal use.

01:38: Now input a welcome message.

01:39: This message will show as the greeting for the patient once they navigate to the

01:43: URL.

01:46: You will also want to input a scheduling complete message.

01:49: This message will appear after the patient.

01:52: Has completed registration for their appointment.

01:57: Next, we will set the parameters of this calendar, think of this as broad

02:01: all-encompassing setup for your scheduling system.

02:04: As you move through the next few steps, you'll want to keep this configuration

02:07: fairly General and Broad provider.

02:10: Users will then have the availability to further customize and override.

02:13: Their own availability when they set up their own schedules.

02:18: First set, the time slot duration, or the length of the appointment available

02:22: options are 15 minutes, 30 minutes or one hour.

02:28: Next select the new appointment scheduling Max, this determines, how many days in

02:33: advance? The appointment can be scheduled ranging from seven days to 90 days.

02:40: Now input a number 1 to 10 for your default overbooking limit per time slot, this

02:46: determines how many appointments can be done per provider per time, slot note.

02:51: This is where the provider user can override this availability.

02:55: We recommend on your default calendar, making this a higher number and the provider

03:01: user can then scale that back.

03:04: You'll want to confirm the time zone that this self scheduling calendar is available

03:08: for.

03:11: Now, set your minimum notice time, this determines how far in advance, someone must

03:15: schedule an appointment.

03:16: Before a time, slot is no longer available.

03:18: For example, if you have an open 10 a.m.

03:22: time slot, and your minimum notice is set to 60 Minutes or one hour.

03:26: Then the latest someone could book that appointment would be 9 a.m.

03:29: after that point the 10.

03:31: Mm time slot would no longer be available for booking.

03:36: In my example, I'm going to select my minimum notice time to be 24 hours.

03:42: You can set anywhere from 48 hours or 2,880 minutes.

03:49: On this configuration screen, you will then want to confirm the start and end times

03:53: of this default calendar.

03:57: Now that we have the general outline of our calendar set, we won't need to associate

04:01: this calendar to the organization.

04:04: Scrolling to the top.

04:04: We will then select organizations.

04:08: check the box for the organization or organizations, you wish, for this schedule to

04:13: apply to

04:15: Lastly, on the configuration page, you can select to associate documents to the

04:20: schedule as well.

04:21: A good example, would be if you'd like to have your athlete.

04:25: Complete, a consent to treat prior to completing their scheduling.

04:30: Document types that you have Associated within your account will populate here and

04:34: you can select as many or as little as you'd like.

04:39: Your default calendar is now set.

04:40: Select okay to save this calendar.

04:44: Now that you've created the default calendar, your provider users will need to set

04:48: their own independent availability, follow along with the additional tutorials to

04:53: learn more.

Step One - Step-By-Step Tutorial - Creating a New Calendar and Assigning it to Organizations

  1. Select the admin tab
     
  1. Select Self Scheduling
     
  1. Select Manage Calendars
     
  1. Select Add
     
  1. Input a Name for internal use.
     
  1. Type in your desired URL Slug
     
  1. One you've input your URL Slug the next box will show you the Full URL, you can use the copy icon to copy your URL for use
     
  1. Now input a description for your calendar, this description is for internal use
     
  1. Input a Welcome Message; this message will show as a greeting for the patient.
     
  1. Input a Scheduling Complete Message. This message will appear after the patient has completed registration for an appointment.

Note: once an appointment is scheduled, the provider user and patient will receive an email

 
  1. Next, select the Timeslot Duration or the length of the appointment
     
  1. Select the New Appointment Scheduling Max; this determines how many days in advance an appointment can be scheduled. You can select from 7 Days, up to 90 days
     
  1. Input a number (1-10) for your Default Overbooking Limit Per Timeslot. This determines how many appointments can be done per provider, per timeslot.

Note: when a provider sets their availability, they can override this

 
  1. Set your calendar time zone.
     
  1. Set the Minimum Notice Time. This determines how far in advance someone must schedule an appointment before a time slot becomes unavailable. You can max out at 48 hours or 2,880 Minutes
  1. Set the Start Time and End Time of your calendar.
     
  1. Scroll to the top of your modal page and select Organizations
     
  1. Check the box for the Organizations you wish to assign to this Calendar.
     
  1. Lastly, if you wish to assign documents to the appointment, you can select Documents.
     
  1. Select the document(s) that you want patients to complete before completing their appointment registration. This document has to be assigned to the organization that the patient belongs to.
     
  1. Select Save

Step Two - Step-By-Step Tutorial - Step Two: Setting Provider Availability:

  1. Select your account setting icon
     
  1. Select your information to open account settings
     
  1. Scroll to the  Availability section.
     
  1. Select the Calendar you wish to set availability for
     
  1. Once you've selected the calendar, you will see its URL below and can directly copy the link to share from this location
     
  1. To add a timeslot, select the general area on the calendar
     
  1. Add availability for this timeslot, select OK to add availability
  • Overbooking is set from the admin provider, if you wish to change the overbooking, your limit will override the calendar set up
  1. Add in any exceptions. Exceptions can be considered "Time Off" or "Additional Time" that varies from your normal schedule. Select OK to add your exception
     
  1. Set any schedule preferences; this allows the provider the ability to set the view of their own calendar
     
  1. Select Save to save your availability

Step Three - Step-By-Step Tutorial - How to Schedule an Appointment:

  1. Navigate to the Scheduling webpage
     
  1. You may be asked to input your First Name, Last Name and DOB, or your Provider Issued Identification Number (Unique ID). This information must match what your provider has input on your patient profile.
     
  1. Select Search
     
  1. If there is a profile match, your name will pull below the search bar, select Continue
     
  1. Select the date range for your desired appointment, as well as select your desired provider. The default will be set to "Any Available Provider." If there is more than one provider available, you can select a specific provider if you wish.
     
  1. Scroll down to view available timeslots
     
  1. To select a timeslot select it, you will then be required to confirm the time and provider by clicking on the provider
     
  1. If required documents are requested to complete the scheduling process, complete them accordingly by selecting “add”
     
  1. Once your documents are complete, select Continue
     
  1. Input your email and select Finish and Schedule to complete your appointment scheduling.
     
  1. You will then be routed to a confirmation page with an email confirmation of the scheduled appointment. Select Home to navigate back to the scheduling page

  1. Navigate to your schedule tab on the left navigation.

Note: You can also navigate directly from the patients' encounter tab, or if the encounter is not completed from the dashboard schedule

 
  1. Select the patient to navigate to the encounter
     
  1. Edit the details of the encounter accordingly
     
  1. Answers applicable Background Questions that are specific to your account
     
  1. Encounters that are created via Self Scheduling will automatically be marked as Non Problem Related. To associate a problem, uncheck Non-Problem Related
     
  1. Select + to add/associate a problem
     
  1. Select to add a new to create a new problem or link an existing to select from existing problems for this patient
     
  1. Select + to add performed services for the encounter
     
  1. Select the appropriate service
     
  1. Select + to add notes for the encounter
     
  1. Select + to add or link attachments
     
  1. Select Save to save the scheduled encounter
