Video Tutorial: Step-By-Step Tutorial: Marking All Eligible Participants As Participating By Default Step-By-Step Tutorial: Manually Selecting Participation For All Eligible Patients

Adding event attendance is important for several reasons; the most obvious is injury documentation and liability. Knowing when and where an injury has occurred enhances record-keeping and ensures accurate documentation. Additionally, tracking attendance helps monitor participation trends and patient availability. Another key benefit is supporting compliance and Reporting, as attendance data provides factual records to meet organizational requirements and improve event oversight.

Step-By-Step Tutorial: Marking All Eligible Participants As Participating By Default

This option is ideal for managing event attendance when tracking the entire roster rather than smaller patient subsets. It automatically marks all participants on the event roster as attended. If someone did not participate or was unable to due to a specific problem, they will need to be added as an exception.

  1. Navigate to the organization/Team that you wish to add attendance to 
  1. Select the Event Tab 
  1. Select the correct event 
  1. Select Edit Attendance 
  1. Review Event Details as necessary 
  1.  To mark all participants within a roster as Participated, check the appropriate box

Note: marking all eligible patients as participated by default will mark the entire roster as participated, regardless of their current status(s)

 
  1. If you need to mark individuals as not participating, you can do so by adding them as exceptions. When a participant is added as an exception, they will automatically be marked as not participating. This feature is especially useful for tracking the reason an attendee did not participate, whether it's related to a specific problem or not.
  1. Those on the complete roster will now populate, select or use the search bar to add a patient to the exception listing. 
  1. If you'd like to add an individual on your roster with an active problem, toggle on Has Active Problem. Select the patient as appropriate to add them as an exception.
  1.  Once your exceptions are added, you may want to edit the available information. If you've added a patient with an active problem(s), you may need or want to change the status or the injury that caused the exception. Select the pencil icon to edit the problem and select the appropriate problem. 
  1. If desired, change the status of the participation per patient
  1. You may also add a note in regards to the participant and the event, select the Add Note icon 
  1. Add your note, select the checkmark to save the note 
  1. Select Submit once complete.
  1. Confirmation of submission can be completed by viewing the events attendance post submission. Within the event details, you will see a submission pie chart detailing participation. Review submission below event attendance. 

Note: You may edit attendance from this screen after submission as well. Any updates will Auto-Save. 

 

 

Step-By-Step Tutorial: Manually Selecting Participation For All Eligible Patients

This option is best for larger groups with extensive rosters, where only a portion of individuals will be participating or attending the event. With this approach, each participant must be individually selected to ensure an attendance record is saved for them.

  1. Navigate to the desired organization 
  1. Select Events 
  1. Select the desired event 
  1. Select Edit Attendance 
  1. Review the event details 
  1. Select; Manually select participation for all eligible Patients 

Note: Simply selecting this checkbox will not mark anyone as participating; you must select patients independently to create a patient attendance record. 

 
  1. To add patients as Attending, click Select Patients 
  1. All available patients on the roster will now populate for selection. Select each participant or use the search bar to quickly find the participant. 
  1.  Toggle on Has Active Problem if you'd like to view those specifically that have an active problem 
  1. Review your participant listing. Change the participation status as necessary as well as add notes to individual participants in regards to their participation and the event. 
  1. Select Submit to save your attendance record 
  1. Confirmation of submission can be completed by viewing the events attendance post submission. Within the event details, you will see a submission pie chart detailing participation. Review submission below event attendance. 

Note: You may edit attendance from this screen after submission as well. Any updates will Auto-Save.
