Video Tutorial: Step-By-Step Tutorial: Adding a User: Step-By-Step Tutorial: Managing a User's Access: Step-By-Step Tutorial: Delete a User

This article walks you through adding a new user to your Enterprise Shell, including how to select the right access type for their role. Depending on the level of access you assign, a user can manage the entire Enterprise, oversee a specific Child Org, or work within groups they've been granted access to.

Note: You must be a System Admin of the Enterprise to use this tool.

 

This feature is available on the ✅ Web Portal only and is not available on the ❌ Mobile Application.

00:01: Hi.

00:01: This is Nikki as an Enterprise admin in sway.

00:04: You'll have access to tools on the Enterprise dashboard that are specific to your

00:07: organization setup.

00:08: Let's review how you'll add and manage users within your Enterprise.

00:14: Upon logging in with your credentials, you will want to select your Enterprise

00:19: organization.

00:22: From the left-hand.

00:23: Toolbar select users.

00:26: If you have current users under your Enterprise, They will be listed below.

00:30: If you need to add a new user select, the add user icon.

00:36: A modal window will populate prompting you to select the user's access level.

00:39: Let's briefly review the access level.

00:41: So you understand options available to you.

00:43: On this screen, you'll be selecting whether the user should be admin or user.

00:48: This specific level of access will depend on their role within the Enterprise or the

00:52: child organization.

00:54: An Enterprise System admin is user that has access to the Enterprise dashboard and

00:59: the tooling this includes visibility into all child organizations groups and

01:03: profiles within the Enterprise, whereas a child org system admin, has access to this

01:09: specific child organization, including the ability to manage groups and profiles.

01:13: Create custom protocols and add other admin, users,

01:17: Now, a user or a child or user has accessed based on their permissions assigned to

01:22: the child organization by the system admin, they can view a sign profiles, create

01:27: codes and view results for their assigned groups.

01:31: Next, you'll begin to input the information for this user.

01:34: Their first name, last name and email?

01:38: From the dropdown, select their professional designation.

01:43: And lastly, select their professional type.

01:47: Next select, add organization.

01:49: This is where you'll assign the organization where this user will have access based

01:53: on their role and responsibilities.

01:57: Check the box for each child organization, the user needs access to.

02:00: If the system admin also needs to have Enterprise level access, make sure to select

02:05: the Enterprise shell as well.

02:08: Lastly, select save this user will now be sent an invitation to join if they've not

02:14: joined already.

02:16: Now, in your user list, you'll see the user you've invited when reviewing the

02:20: organization for your users, blue indicates that the user has system admin, access

02:25: for that organization.

02:27: While green indicates user access.

02:30: To make changes at any time, simply select the user and edit their access.

02:36: To add organizations as an admin or user, select the edit icon.

02:43: Now, select add organizations.

02:48: All existing organizations within your Enterprise.

02:51: Will now be displayed.

02:51: Check the box next to each organization.

02:54: You want to add the user to to remove a user from an organization, simply uncheck

02:59: the box next to that organization.

03:03: Once you've added or removed organizations, click out of the dropdown box.

03:09: And now select to save organizations.

03:14: Adding a user to a new organization will automatically assign them as a user.

03:18: If they need administrative access for that organization, change their access level

03:22: to admin.

03:26: Lastly, if you need to remove a user from your Enterprise dashboard navigate to

03:30: their user profile and select delete.

03:33: You'll be prompted to confirm the deletion before the action is completed.

 

Step-By-Step Tutorial: Adding a User:

  1. Navigate into your enterprise shell
  1. Select Users from the left toolbar
  1. Select Add User
  1. Select their Access Type, User or Admin

Access Types

Enterprise System Admin – Access to the Enterprise Dashboard and Enterprise tools

Can see all Child Orgs that fall under the Enterprise, including Groups and Profiles

Child Org System Admin – Has full access to a specific Child Org

Can create custom protocols

Add and edit Groups

Access to all profiles

Can add other System Admins and Users

Child Org User – Given certain access by the System Admin of the Child Org

Can see any profiles that fall under Child Org groups added to their access level

Can create codes and view results for those specific groups

  1. Input required user information – First Name, Last Name, Email, Professional Designation, and select their professional type
  1. Select the + icon to add an organization(s), selecting all that apply
  1. Select Save

 

Step-By-Step Tutorial: Managing a User's Access:

  1. Log in to your enterprise dashboard 
  2. Select Users
  3. Select the User you wish to edit organization access for
  1. Select to edit User Organizations
  1. Select Add Organization
  1. Check desired organizations 
  1. Select X to remove the user's access to an organization
  1. Select Save Organizations
  1. If you've added them to a new organization, it will auto-assign them as a user. If they need admin access, select Admin 

 

Step-By-Step Tutorial: Delete a User

  1. Navigate into your enterprise shell
  1. Select Users from the left toolbar
  1. Navigate to the User
  1. Select the Delete icon
  1. Confirm Delete
