When Notifications Are Sent When Notifications Are NOT Sent Video Tutorial: Resolve Workflows Link to an Existing Patient Profile Create a New Patient Profile Reviewing a Matched Document: Get the Most Out of Your Integration

This article explains how Sway patient matching notifications are handled within EMR. A new Sway-specific notification type replaces the previous generic missing/ambiguous match alert and introduces a streamlined “Resolve” workflow for faster decision-making. In addition, notification routing has been improved to ensure alerts are delivered to the correct providers based on organization-level assignment when Org Matching is enabled.

When Notifications Are Sent

  • No organization mapping + patient identifiers do not match (existing behavior)
    → A Missing/Ambiguous notification is sent to Provider Admins
  • Organization mapped + patient identifiers do not match + auto-create is OFF
    → A Missing/Ambiguous notification is sent to provider(s) assigned to the matched organization(s)

When Notifications Are NOT Sent

  • No organization mapping + patient identifiers match
    → Document is automatically saved to the patient profile
  • Organization mapped + patient identifiers match
    → Document is automatically saved to the patient profile
  • Organization mapped + auto-create new patient enabled
    → A new patient profile is created and the document is saved automatically

00:51: Begin by navigating to your notifications tab on the left navigation.

00:57: On your notifications tab, you will see the new file name is missing or ambiguous

01:52: roster Sway and EMR systems have patient identifiers matching.

03:09: Using the global search allows you to quickly navigate to the patient's profile.

03:18: Scrolling to the bottom of their completed documents.

03:24: Clicking on the file itself will download the clinical report.

Resolve Workflows

Link to an Existing Patient Profile

  1. Navigate to the Notifications tab 
  1. Select the notification, or use the menu icon and choose Resolve
  1. (Recommended) Review the attached file using the download icon
  1. Click Select Existing Patient
  1. Use the search bar to find and select the correct patient

Best Practice: To reduce future notifications, ensure patient identifiers are consistent between Sway and your EMR system.

 

Create a New Patient Profile

  1. Navigate to the Notifications tab
  1. Select the relevant notification, or use the menu icon and choose Resolve
  1. (Recommended) Review the attached file using the download icon
  1. Select Create New Patient
  1. Patient identifiers will auto-populate from the Sway file

  1. Save the new patient profile by selecting OK 

Reviewing a Matched Document:

  1. Navigate to the athlete's profile
  1. Select Documents
  1. Select the document titled: SwayTest_ATHLET_NAME_ID
  1. Review document
