Organization-level Potential Duplicate List and Admin-level Potential Duplicate List  coming soon!

 

The Potential Duplicate List helps providers quickly identify and manage duplicate patient profiles. It automatically flags records with matching names and dates of birth and organizes them into an easy-to-review list based on the reason for the match. From this list, users can review records and use the existing Merge Patients workflow to combine profiles.

Duplicate management is available at both the organization and admin levels:

  • Organization-level Potential Duplicate List – Available to Provider Admins and Providers within an organization. This view helps teams manage and clean up duplicates for patients associated with their specific organization.
  • Admin-level Potential Duplicate List – Available to Admin Providers. This view provides visibility across all organizations in the account, allowing for broader duplicate management and cross-organization cleanup.

Separately, profile-to-profile merging is available as a standalone workflow for handling individual, one-off duplicate cases outside of the Potential Duplicate List.

⚠️ Warning: Merging Profiles is permanent and cannot be undone.

All associated data—including Problems, Incident Reports, Encounters, Referrals, Documents, Organizations, Teams, and Users—will be transferred from the source profile to the target profile.

The source profile will be removed from all Organizations, and access to those Organizations will no longer be available. Personal details on the target profile (such as name, email, address, and emergency contact information) will remain unchanged.

 

Organization-level Potential Duplicate List COMING SOON!

Providers and Provider Admins can manage duplicate patient records directly at the organization level by navigating to the Organization tab and selecting “Manage Duplicates.” This view is limited to patients assigned within your specific organization, helping keep cleanup focused and relevant. There is also an “Include Archived” toggle available if you need to review or address duplicates involving archived records. This tool is best used for routine, day-to-day maintenance of duplicate patient profiles within your organization.

00:01: Today's tutorial is going to walk through how providers and provider admins can

00:06: manage duplicate.

00:07: Patient records from the organization tab by using managed duplicates.

00:11: This view focuses only on patients within your organization and includes an optional

00:16: include archive.

00:17: Toggle, it is designed for quick day-to-day cleanup of duplicate profiles within

00:23: this organization.

00:26: To begin, we will navigate within our organization.

00:30: Within the organizations tool tab, select manage duplicates.

00:36: Before we merge any profiles.

00:37: It's important to understand the filtering options that you have on this View.

00:44: First you see, I'm selecting match type our system will use a two of three matching

00:50: rule.

00:50: This means two of the three key Fields must match while the third can be different.

00:59: First and last matches the first name and the last name, even if the date of birth

01:04: is different.

01:04: For example, John Smith with different birthdays.

01:09: Next, you see first and date of birth.

01:12: This matches first name and date of birth.

01:14: Even if the last name is different, for example, Sarah has the same birthday but

01:19: different last names.

01:20: Lastly, last and date of birth, this matches on the last name and date of birth.

01:25: Even if the first name varies slightly for example, Mike and Michael Davis with the

01:30: same birthday.

01:33: if you've selected a match type and you'd like to remove it, simply select the X

01:38: icon next to your match type selection,

01:42: If you are a provider and you suspect that there are duplicate profiles, you can

01:45: also at any point in time, use the search bar to search for these duplicates.

01:51: Next, let's review the option to change your sort, you can sort duplicate results to

01:56: help prioritize what you see first.

02:00: By default results are sorted by highest confidence, showing the strongest matches.

02:05: At the top, you can also sort by most recent, which displays the newest or most

02:10: recently updated profiles.

02:11: First, or use f about a cool sorting like first name or last name.

02:16: Either A to Z or Z to A depending on how you want to review the data.

02:22: Another valuable feature to note is that you can also include archived at the

02:26: organization level.

02:27: This allows you to view duplicate matches across both active and archived patients

02:33: within your organization.

02:34: As a reminder, this is only available at the organizational level.

02:40: You will now want to review the list of potential duplicates.

02:44: To open a patient's profile select the open file icon.

02:48: It is encouraged that you review.

02:50: Both patient profiles before completing the merge action.

02:55: To merge select the merge icon between the two patient profiles.

03:01: You will now be in the merge profile view.

03:04: It's important to understand this view on the screen.

03:07: The green profile on the left, is the record that will be kept while the yellow

03:12: profile on the right will be merged into the kept record.

03:17: If you need to swap the profiles determining, which is the kept profile.

03:22: Select the Double Arrow to swap the profiles.

03:27: It's important that you review the disclaimer at the bottom of the merge profile

03:31: screen.

03:32: This will confirm, which profile is being merged and which profile is being kept.

03:39: Once you're confident, the two profiles should be merged select okay to proceed.

03:43: Please note, this action is permanent and cannot be undone.

03:49: Click "OK" to close the merge confirmation dialog.

03:50: Once the merge is complete, you will receive a notification select okay to proceed.

03:58: You'll then be taken back to the kept patient's profile, if you want to continue

04:03: managing duplicates for this organization, the fastest way to return is to use the

04:07: quick key under the patient's name to access organizations, then select the relevant

04:12: organization.

04:15: He'll be routed back to the organization where you can select manage duplicates

04:20: again and continue.

04:21: Merging duplicate profiles within that organization.

Step-by-Step:

  1. Navigate to the Organization
  2. Select Manage Duplicates
  1. Apply your desired filters:

 

  • Match Type
    The system uses a “2-of-3” matching rule—two of the three key fields must match, while the third differs.
    • First + Last: Matches on first and last name
      Example: "John Smith (01/15/2000)" and "John Smith (03/22/2001)"
    • First + DOB: Matches on first name and date of birth
      Example: "Sarah Johnson (05/10/1998)" and "Sarah Williams (05/10/1998)"
    • Last + DOB: Matches on last name and date of birth
      Example: "Mike Davis (07/04/2002)" and "Michael Davis (07/04/2002)"
  • Sort By
    • Highest Confidence (default) – strongest matches appear first
    • Most Recent – recently created or updated profiles appear first
    • First Name (A–Z / Z–A)
    • Last Name (A–Z / Z–A)
  • Include Archived
    • Allows you to view duplicate matches across both active and archived patients within your organization. This option is only available at the organization level.
  1. Review the list of potential duplicates
    • Select the Open File icon to review matched profiles
  1. To merge profiles, select the Merge icon
  1. In the merge screen:
  • The green profile (left) is the record that will be kept
  • The yellow profile (right) will be merged into the kept record
  • Use the double arrow to swap profiles if needed
  1. Review the merge details and select OK
  1. A confirmation message will appear—select OK
  1. You will be redirected to the final, merged patient profile
 
 

Admin-level Potential Duplicate List  COMING SOON!

Admin Providers can manage the Potential Duplicates list from the Admin tab. This list provides visibility across all organizations within your account, allowing for broader duplicate management and cross-organization cleanup of patient profiles.

00:19: To begin.

00:20: Once you're logged into the EMR platform, select the admin tab on the left

00:25: navigation.

00:28: Now, from the admin toolbar, select healthcare provider.

00:34: Next select manage duplicates.

00:37: Let's first review the different filter options you can apply.

00:41: Match type is the first, our system will use a 2 of 3 matching rule.

00:46: This means two of the three key Fields must match while the Third Field can differ.

00:54: First and last we'll match the first name.

00:56: And the last name of the patient date of birth does not come into play.

01:00: First in date of birth will match first name and date of birth.

01:03: Whereas the last name does not match.

01:06: And lastly, last and date of birth matches when the last name and the date of birth

01:10: are the same, whereas, the first name does not match.

01:16: Next, let's review how we can change the sort.

01:20: Highest confidence is the default.

01:22: This will display the strongest matches first based on Match accuracy.

01:28: Most recent will display the most recently created or updated profiles first.

01:34: First name will sort profiles alphabetically by first name in ascending or

01:39: descending order.

01:40: And last name, we'll sort profiles alphabetically by last name in ascending or

01:45: descending order.

01:48: Once you've applied your sorts and filters, review the list, it's encouraged that

01:53: you open each patient profile to confirm that they are true matches.

01:56: Select the open file to navigate directly to that patient's profile.

02:03: Once you've confirmed the two profiles are in fact, a match, select the merge icon

02:08: in the center of the two profiles.

02:12: On the merge screen review.

02:14: The patient's information, carefully below the patient's name, you can hover over

02:18: the organization listing and confirm the patient's organization.

02:21: The patient profile on the left.

02:23: Highlighted in green, is the record that will be kept well as the patient profile on

02:28: the right in yellow will be merged into the kept record.

02:33: Use the double arrow in between the two profiles to swap, which profile is kept in

02:39: which profile is merged.

02:43: Review the merged details in full, ensure everything is correct.

02:46: Please note, this action cannot be undone.

02:51: Once you've confirmed that these patient profiles are an exact match select, okay?

02:58: A confirmation message will now appear select, okay.

Profile-To-Profile Merging

This video and tutorial will walk you through the easy merging of duplicate patients. This is a great way to clean up your patient list and make sure that you do not have any redundancies within the system.

00:12: Simply stated this is for singular patients.

00:14: You know, there are duplicates on

00:18: We're going to begin within the organization's patients table.

00:23: Once you've noticed the patient profile that you'd like to merge in select the menu

00:28: icon to the right of their name.

00:31: Next, you'll select merge patient.

00:36: The patient.

00:37: You've decided to merge is already listed in the merge view.

00:40: You can see them on the left hand side of the screen in green,

00:44: Click on select to add the additional patient profile.

00:49: Use the search bar to quickly find the patient you're looking for.

00:54: Now, I will select the correct.

00:55: Patient profile.

00:58: Let's review again.

00:59: What this view is now showing us.

01:02: On the left hand side of the screen in green.

01:04: This is the patient profile.

01:06: We will keep

01:08: The right hand side of the screen is in yellow.

01:17: If you'd like to change which profile is kept in which one is merged select, the

01:22: Double Arrow icon in the center to switch them.

01:27: Now be sure to review the merged details at the bottom of the screen, understand

01:32: merging patient profiles cannot be undone.

01:37: Once you have verified that these two patient profiles are exact matches, select

01:41: merge?

01:44: You will select okay to confirm that these profiles have been merged together.

Step-By-Step Tutorial

  1. Navigate to the desired Organization
  2. Select the Patients Tab
  1. Use the search bar to quickly search for duplicate patients
  1. Select the menu icon to the right of the patient
  1. Select Merge Patient 
  1. The patient profile selected for merging will be highlighted in green. Select Select to search for the patient you want to merge it with.
  1. Use the search bar to find the duplicate profiles quickly. Once found, click on the profile
  1. In the merge screen:
  • The green profile (left) is the record that will be kept
  • The yellow profile (right) will be merged into the kept record
  • Use the double arrow to swap profiles if needed
  1. Review the merge details and select Merge 
  1. You will receive a confirmation that the merge was successful, select OK
