Video Tutorial: Step-By-Step Tutorial: On Web Portal

Use bulk or individual archiving for athletes you no longer need to actively monitor, such as transfers, graduates, or inactive profiles. Archived profiles are not deleted and can still be viewed in the portal at any time.

This feature is available on the ✅ Web Portal only and is not available on the ❌ Mobile Application.

 

Video Tutorial:

00:00: This tutorial explains how to bulk move or archive profiles within sway.

00:26: Click the group section to access profile group management.

00:33: Click bolt move to start the process of moving multiple profiles at once.

00:37: Click the area to open the group selection options.

00:48: Click select group to choose the destination group for the profiles.

01:19: Click select graduation year to filter profiles by their graduation year.

01:37: Click the area to access options for moving profiles.

01:45: Click move selected profiles to begin transferring. The Chosen profiles.

01:50: Click the area to proceed with moving the profiles.

01:57: Click move profiles to complete the bulb move process.

02:02: You have successfully bolt moved profiles by selecting source and destination groups along with graduation years.

02:08: This process helps efficiently, organize and archive profiles within sway.

 

Step-By-Step Tutorial: On Web Portal

  1. Log in to the Sway Portal
  2. Click on the "Groups" tab 
  1. Click on the blue "Bulk Move" button
  1. In the first drop menu, choose an active group you want to move the profiles from or you can view ALL PROFILES (last listed). 
  1. In the second drop-down menu, choose the 
  • "Inactive Profiles" group to archive.
  • Select a different group if you'd like to move athletes in bulk. 

Note: If you don’t see an “Inactive Profiles” option, it may have been deleted. If that’s the case, navigate to the Groups tab and select Add Group.

Be sure to check the box for “Is Inactive” before saving.

Once created, return to the Bulk Move tool and your new inactive group will appear in the dropdown menu.

 
  1. All of the profiles assigned to the active group from the first drop-down menu will appear
  2. Click the far right drop-down to show you all of the graduating years. Click the graduation year you want to start with to filter out all other profiles that do not fit that criterion. 
  1. Once sorted, click the top left box to select all profiles for this graduation year. Then, you will click the blue 'Move Selected Profiles' button.
  1. Check the box to confirm the move of the selected profiles
  2. Click "Move Profiles"
