Getting Started with the Fundamentals:
As a provider, you understand the importance of proper form and preventative care in reducing injuries and enhancing performance. The same principle applies to your use of Healthy Roster. Building a strong foundation in the fundamentals of our platform is key to maximizing its potential and ensuring you get the most out of the software.
- Understanding Training Terminology: In training content, we use a standardized “default” set of terminology that more closely matches general healthcare system terminology but might not match your terminology; it's best to familiarize yourself with terms before jumping in.
- Updating Your Account Details: Adding account logos serves several purposes, including enhancing professional branding, improving client recognition, and increasing trust by reassuring users that they are engaging with the official, secure platform of their organization.
- Creating an Organization: How You Will Structure Your Account. Organizations should be considered the top tier of the hierarchy where patients are grouped. Depending on your account, you may choose to build out a single organization or multiple organizations to best fit your needs.
- Adding Provider Users / Athletic Trainers and Assigning Athletic Trainers to Organizations: Two vital steps to ensure your providers can access the platform and document effectively: Assigning providers establishes proper access control and enables them to collaborate seamlessly with other assigned staff, athletes, or patients within the organization.
- Patient Creation Options: When inviting patients to Healthy Roster, you have multiple methods available, giving you the flexibility to choose what works best for your workflow. Experiment with the options to determine the most efficient process for your needs.
- Team Management: Creating a team allows you to organize your organization into smaller, more manageable subgroups. This is especially useful for tracking team-specific information and restricting patient access to users who only need visibility into patients within that specific team. It’s a valuable feature for maintaining focus and ensuring secure, role-specific access.
- Adding Problems & Incident Reports: It's crucial to document issues promptly and accurately, so knowing how to document both a problem and an incident report simultaneously is essential. A problem typically refers to a concern or issue that needs attention, such as an injury or medical complaint, whereas an incident report documents your provider-specific evaluation and notes. Having a clear understanding of the distinction and process for each ensures thorough and effective documentation.
- Creating An Encounter/Treatment: As a provider, encounters—or treatments, as they are often referred to—are the cornerstone of your work. Each encounter represents the services you deliver, capturing the care and expertise you provide to patients. These records are not just a reflection of the treatment given but also form the foundation of the reports that demonstrate your impact and value within the organization. Documenting encounters thoroughly and accurately is key to showcasing the vital role you play in delivering exceptional care.
Building out Administrative Customization:
Customizing your administrative tab isn’t required to get started, but we highly recommend taking the time to personalize your Healthy Roster experience if your schedule allows (You can always come back to it at a later time as well). Customization helps reinforce your brand identity, providing a consistent and professional experience for all users. It ensures the platform is tailored to your needs, enhances functionality, and effectively communicates your value—helping you showcase your expertise in the best possible light.
- Understand Paid User Seat Count: In Healthy Roster, Provider Users are the only paid users on the platform. It’s crucial to know how many active seats you’re currently using and how to manage these listings effectively. Proper management ensures you’re maximizing your subscription’s value and aligning the platform’s capabilities with your organization’s needs.
- Understand Updating Your Account Details: Taking the time to update your account details is an essential first step. It not only helps brand your platform but also sets a strong foundation for the next stages of customization and implementation.
- Manage Features: The ability to manage features grants administrators and account owners the power to refine platform functionality. For example, you can restrict provider creation in referral-related fields to improve accuracy and consistency in reporting. This feature ensures that your data remains clean, reliable, and actionable
- Creating a Note Template: Standardizing documentation and providing structure to your providers’ workflows is essential for maintaining efficiency and compliance. Note Templates are designed to simplify this process by streamlining documentation, enhancing accuracy, and ensuring adherence to organizational standards. These templates are an invaluable tool for improving consistency and reducing time spent on administrative tasks.
- Creating New Note Types: Looking to organize your notes more effectively? By creating new note types, such as SOAP Notes, Rehab Notes, or maybe even Progress Notes, you’ll enable easy filtering and sorting. This makes it simple to view specific categories of notes and track progress more efficiently. Exciting updates to this feature are on the horizon, so stay tuned!
- How to Add Encounter Service Types: Encounter Service Types represent the specific services your providers deliver to patients and play a crucial role in demonstrating the value of provider users. By customizing these types, you ensure that all rendered services are accurately documented and tailored to the unique needs of your organization. This not only enhances the clarity of your records but also supports consistent reporting and highlights the full scope of care provided.
- Building Your Resource Library: The Resource Library is a powerful tool for centralizing and streamlining access to critical information. Use it to store rehab protocols, patient care documents, or commonly used communication materials. By reducing reliance on paper-based methods, you’ll save time and enhance efficiency.

Customizable and assignable, these questions help you collect standardized information and can be made mandatory to ensure all necessary data is captured.
